Position/Title: Receptionist / Office Manager
Location: Jersey City, NJ 07302
Reports to: Chief Executive Officer
Annual Salary Compensation: $65,000.00
Employment Type: Direct Hire
Schedule: Full-time, 9:00 AM - 5:00 PM

Job Summary:
We are seeking a detail-oriented Receptionist/Office Manager with at least 3 - 5 years of experience.  The Receptionist/Office Manager will provide front-desk reception and office/administrative support throughout the office.

• Previous experience working as a receptionist and office manager.
• Greet and welcome visitors, employees, vendors with a professional demeanor.
• Answer incoming calls, take, and relay messages accurately.
• Maintain an organized reception area to ensure a welcoming environment.
• Ordering office Supplies.
• Handle inquiries, or direct individuals to the appropriate personnel.
• Schedule and manage appointments and meetings for CEO and President.
• Perform general clerical tasks such as data entry, filing, etc.
• Prepare and format documents, letters, and reports as needed.
• Assist with creating, formatting and/or proofreading marketing materials.
• Coordinate travel arrangements.
• Draft and distribute internal memos, announcements, or newsletters.
• Troubleshoot office equipment issues or coordinate repairs with vendors.
• Provide support to various departments on an as needed basis.
• Retrieving, sorting, and handing out the mail to staff.

Requirements:

• Minimum of 3 - 5 years of experience as a receptionist / office manager.
• Associates and/or bachelor’s degree in either Business Administration, Marketing, or Life Sciences.
• Proficient in Microsoft Office (Word, Excel & Outlook).
• Strong Organizational, multitasking, and time management skills.
• Excellent verbal and written communication skills.
• Ability to handle confidential information.
