Job Title: Clerical - Admin Assistant / Secretary II

Shift: 7:00 AM – 3:30 PM, Monday–Friday, with rotating Sundays

Location: Omaha, NE

Type: Full-time, Contract

Position Summary:

We are seeking a detail-oriented and dependable Administrative Assistant / Secretary II to support our document management and mailroom operations. The ideal candidate will manage mail processing, document handling, client records, and basic administrative functions, while maintaining high standards of confidentiality and efficiency.

Key Responsibilities:
  • Manage multiple mailroom sections in accordance with standard operating procedures (SOPs).

  • Maintain and recall client records and containers for internal/external audits.

  • Sort, open, inspect, bundle, and distribute incoming mail and publications.

  • Process and file all inbound and outbound mail correspondence.

  • Distribute inter-office mail to appropriate departments.

  • Conduct simple troubleshooting and preventive maintenance on office machines.

  • Handle check processing, deposit, and reconciliation per standard service protocols.

  • Research case numbers for appropriate documentation and handling.

  • Manage both inbound and outbound emails and phone calls in a professional manner.

  • Assist with various daily administrative tasks as assigned.

  • Plan, prioritize, and organize workload to meet service level agreements (SLAs).

  • Respond to customer inquiries and resolve issues efficiently.

  • Accurately interpret and compile information from multiple systems and sources.

  • Ensure quality and turnaround time aligns with service expectations.

  • Contribute to team efforts and manage individual tasks to achieve team goals.

  • Perform basic functions in Microsoft Excel (e.g., data entry, sorting, filtering).

Qualifications:
  • Previous clerical or administrative support experience preferred.

  • Strong organizational, time management, and problem-solving skills.

  • Excellent written and verbal communication skills.

  • Ability to handle confidential information with integrity.

  • Comfortable working in a fast-paced, process-driven environment.

  • Proficient with Microsoft Office tools, especially Excel.
