Administrative Assistant II, Enrollment Services Grade 17, AFSCME Unit position, 37.5 hours/week Campus Location: Danvers (Primary) and Lynn campuses Work Schedule: Monday - Friday; 9:00 am - 5:00 pm SALARY: $2,266.94 biweekly, ($58,940.44 per year) with fringe benefits. An appointment made from outside the bargaining unit (AFSCME) must start at this salary, step #1 of the range or as adjusted in accordance with the AFSCME collective bargaining agreement. GENERAL STATEMENT OF DUTIES: The ideal candidate for this role will join an energetic and inclusive educational community, and must have the desire and ability to work with a diverse population. The Administrative Assistant II is responsible for providing administrative support to the Dean of Enrollment Services while performing administrative duties requiring a high degree of confidentiality, decision making ability and exceptional responsiveness to internal and external requests. This position will assist with the development and integration of student centered services in support of Recruitment and Admission, Financial Aid, Veterans Services, and Student Accounts. The Administrative Assistant will support the Dean with the division's budget, calendars, communication efforts, and all division meetings. Moreover, this position will work with the Dean and their reporting areas to triage student inquiries in person and/or virtually to enhance the student experience.
ESSENTIAL FUNCTIONS: - Provide administrative assistance to the management team in Enrollment Services, including scheduling appointments, coordinating mailings, tracking documents, taking meeting notes, copying, faxing, and mail distribution.
- Assist with tracking the enrollment life cycle with a focus on reporting and tracking of enrollment goals and benchmarks.
- Works closely with other administrative staff in the Division of Student & Academic Success to align mission and goals.
- Provide excellent service to students and parents by phone, in person and via email, by answering questions and advising students on all aspects of the enrollment process.
- Assists the Dean with tracking office traffic to make sure all campuses are staffed appropriately.
- Train and support new staff members on office functions and processes.
- Prepare and submit requisitions using finance self-service, for Enrollment Services.
- Oversee the Here To Help Program, establishes appropriate response to error conditions; verifies data entry and reviews output for errors and completeness; consults with users; utilizes Qualtrics survey tool to gather needed information from students to assess and inform college budgeting for Here to Help; and participates in the preparation of budget requests, provides supporting documentation for approval and inclusion in the overall final budget. . Coordinate outreach to students as needed, request checks when necessary, track check requests and success of students assisted.
- Assist the Enrollment Services Management Team with the collection and verification of new part-time employee paperwork as needed for HR/Payroll. Coordinate and submit requests for access to administrative software systems, network drive access, office keys and needed supplies.
- Assist in coverage of the service area and work one-on-one with students as needed.
- Maintain a basic knowledge of federal, state, and local Financial Aid, Admissions and Enrollment policies and procedures.
- Provide students with accurate and appropriate information about the billing process and their student account.
- Support the Enrollment Services operations on either campus periodically to help with coverage and/or with training of staff during peak registration periods on evenings and weekends as needed.
- Maintain and update Enrollment Services webpages as needed.
- Performs other related duties at the direction of the Dean of Enrollment Services or other members of the management team.

Job Requirements:
- Knowledge of the principles and practices of office management, general report writing and data preparation and analysis.
- Ability to use general office equipment and higher education platforms such as BANNER, Navigate, Cognos, Zogotech, QLess, Constant Contact, among others.
- Capacity to understand, explain and apply the laws, rules, regulations, policies, procedures, specifications, standards and guidelines governing assigned unit activities.
- Ability to establish rapport and maintain harmonious working relationships with persons from varied ethnic, cultural and/or economic backgrounds.
- Ability to exercise discretion in handling confidential information.
- Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, or (B) any equivalent combination of the required experience and the substitutions below.
- Substitutions:
- An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.*
- An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*
- Knowledge of the principles, practices and techniques of supervision
- Candidates will be required to pass a CORI/SORI and/or National background check as a condition of employment
*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
NOTE: Educational substitutions will only be permitted for a maximum of two years of the required experience.
PREFERRED QUALIFICATIONS: - Bilingual (Spanish)
- Community College Experience
- Successful experience interacting with culturally diverse populations.
- Excellent written and verbal communication skills.
